Editing an asset correctly

What to change, what to leave alone, and what the platform recalculates for you.

Change the fact, not the derived value

Some fields are yours to set. Others are calculated:

  • You set — name, class, type, subtype, location, dimensions, condition, criticality, dates and costs
  • Spatial7 derives — asset group from the class, geometry measures from the mapped feature, remaining life from age and expected life, annual depreciation from value and life, and written-down value from the two

If you override a derived figure deliberately, the record notes that it was overridden rather than calculated.

Before you save

  • Check the asset ID follows the register's format
  • Check the class and type match what the asset actually is
  • Check the site or facility ID is one already registered
  • Check the location narrative describes where the asset is, not what it is

Every save is recorded in the asset's change history, with what changed and who changed it.
