Logging a defect

Recording the right defect, against the right asset, at the right severity.

A defect is a specific, actionable fault

Each defect carries a type (structural, surface, mechanical, electrical, hydraulic, corrosion, safety, drainage, signage or other), a description, a severity and a priority, and it moves through logged → verified → prioritised → assigned → in progress → completed → closed.

Severity and priority are different

  • Severity describes the defect: how bad it is.
  • Priority describes the response: how quickly it must be dealt with.

The two do not always match. A minor-looking trip hazard next to a school is low severity and high priority.

Linking correctly

A defect belongs to one asset. If a defect affects a whole structure, raise it against the structure and reference the affected components in the description — do not spread one fault across five records, because the maintenance history becomes unreadable.
